Council green-lights CivicPlus contract to rebuild town website, citing accessibility requirements

Communications Director Cheryl McElroy asked the Speedway Town Council to authorize a final agreement with CivicPlus to rebuild and host the town website, citing federal accessibility requirements and the town’s unsupported current platform.
Cheryl said the contract was reviewed by the town attorney and town manager and includes a one-time implementation cost of $5,000. She disclosed an estimated first-year cost of $24,921.73 and an annual subscription thereafter of $17,870.40 for hosting, security, software updates and support. "The agreement includes a 1 time implementation cost of $5,000 making the initial investment our 1st year 24921.73 dollars with an annual subscription of $17,870.40," she said. Council approved the agreement by voice vote, 5-0.
Staff told council the town’s current platform is no longer supported and the rebuild is necessary to comply with new accessibility expectations referenced in the discussion. Cheryl said staff negotiated several edits but were unable to secure a long-term guarantee that the vendor would not discontinue or alter the platform in a few years. The communications team will begin project implementation following execution of the contract, and periodic updates to council were requested.
The council did not record any amendments and directed staff to proceed with contract execution.
