County approves on-call HVAC vendor list and explains Trane specialization

The board approved purchasing's recommendation to accept all bid submissions for on-call heating, ventilation and air conditioning services for county departments for an initial one-year contract with two one-year renewal options. Purchasing said accepting multiple bids broadens available contract options and helps ensure timely response when units fail simultaneously across facilities.

Kendall Ewing, Facilities Maintenance Manager, explained that Trane serves as a manufacturer representative for larger chillers and that some repairs require Trane involvement to bind sensors and complete control-system work: "Trane is a more specialized vendor ... they work on the bigger ... chillers." Board members pressed for clarification about vendor counts and previous vendor participation; purchasing staff said the table in the record reflects vendors that submitted responses and that staff would provide additional information about prior contractor participation if needed. A motion to accept the submissions at the listed rates was seconded and carried by recorded ayes.
