ISERs staff: pension administration replacement 2.5-year project; discovery phase 75% complete

Angie Aguilera, project lead for the pension-administration implementation, told trustees the Haywood/Linea project is progressing: discovery and requirements analysis sessions are roughly 75% complete and data mapping is about 5% complete. Additional on-site discovery and follow-up sessions were scheduled for Aug. 12–14 to advance the work.

“The project continues to ... remain in the discovery requirements analysis phase, which is currently, approximately about 75% complete,” Aguilera said. She described expected benefits including workflow automation, a member portal that would let retirees and active members access W-2s and other documents, and multifactor authentication to support electronic signatures and remote transactions.

Trustees asked about timelines, user features and whether staff would travel for demonstrations; staff said a planned overseas trip was canceled and that an electronic-signature policy will be brought to the board once final specifications from Haywood are available. The board was told the overall implementation timeline remains about 2.5 years and that staff will provide ongoing progress updates.

Why it matters: Replacing the legacy PenFAX system aims to reduce manual reporting tasks, provide a member-facing portal, and improve operational transparency and efficiency for members and staff.
