District to Replace BoardDocs with Simbly/Assembly; Transition Set for October 1

Superintendent Dr. Goldhart and district staff told the Laramie School District Board of Trustees that the district will migrate from BoardDocs (via Diligent) to Simbly’s Assembly platform starting October 1. Dr. Goldhart said the vendor Diligent is changing processes and “BoardDocs isn't gonna be something that we can use anymore.” She reported that other Wyoming superintendents who switched found Simbly’s migration easier and more usable. Miss Baldwin, who said she worked directly with the vendor, described user-facing features trustees and the public will gain: stakeholders can subscribe to receive meeting activation notices; board members can make private, user-unique notes on agenda items; and Assembly is more mobile-friendly. Baldwin said the vendor will load historical agendas, minutes and attachments into the new system. Board staff presented a cost comparison: the initial cost for Simbly is about $15,980, comparable to the district’s current BoardDocs cost of about $16,000. Staff said the Diligent contract includes an 8% annual increase while Simbly does not increase yearly. The district’s current BoardDocs contract runs through Nov. 30; staff said October 1 will be the first meeting run entirely on Simbly. Board members asked whether the district would post or notify the public about platform changes and whether subscribers would receive update notices when an agenda changes; staff said they would confirm those features with the vendor but expected email notifications on updates. Administration said the Simbly contract is below the board’s approval threshold but offered to present it for approval if trustees prefer. Staff planned training for board members prior to the first meeting on the new platform.
