EMA rolls out online traffic‑control request form for Beecher events

Beecher — The village's Emergency Management Agency presented an online traffic-control request form on June 9 the EMA said will streamline requests for event traffic control by community groups, schools and nonprofits.

Deputy Director Murray demonstrated a prototype of the form and said it will be posted on the EMA page and the village website and will also be shareable via the village Facebook page. “You can put this on your iPhone, you can put it on your iPad,” Murray said while showing the mobile layout, adding the form captures event date, time, location, expected attendance and other details and then e-mails EMA staff for review.

Murray asked event organizers to submit requests about 10 days in advance for non‑school events so EMA can coordinate resources and notify the police command staff if traffic control is approved. EMA staff said school events—where scheduling windows can be shorter—should still fill out the form so EMA can be aware and respond as possible.

The form generates an initial notification to EMA staff; if EMA approves traffic control, EMA staff will send a follow‑up e-mail to the police command staff with the approved date and time so the department can post and staff the event as needed. Director Heinrich introduced the item and said the form is intended to centralize requests and reduce phone‑tag.

Trustees asked about whether the form’s e-mail notifications could be expanded to include police command staff and EMA staff responded they can add that step once the approval workflow is finalized. EMA staff asked trustees to approve posting the form so organizers have a single, accessible way to request traffic-control assistance for parades, runs and similar public events.
