Commissioners approve printer-replacement plan; purchase contingent on council appropriation

IT Director Mike and staff told the board that many of the county's printers and multifunction copiers are approaching end-of-life and will soon stop accepting necessary firmware updates and certificates. Mike said the county owns machines bought after an earlier lease-to-own arrangement; some machines are still updatable, but others will prevent printing once updates are no longer accepted.
Staff presented a replacement proposal covering about 40 printers with an estimated monthly cost of $5,443.72 (lease component $3,802.88 plus estimated consumables $1,640.84). Mike said the county has reduced overall print counts through usage controls, but the aging hardware and new security/certificate requirements make replacement necessary to avoid a countywide printing outage.
Commissioners supported the plan and made a motion approving the replacement strategy "based on funding/appropriation from the council." The board asked county administration to prepare a written explanation and supporting materials for the county council so the council can consider the appropriation at its next meeting. The board's approval is contingent on the council providing funding; county staff will appear before council in March to request the appropriation.
