Administration obtained bids from four vendors — Marco, Access Systems, Midwest Office and Xerox (the incumbent) — and recommended Access Systems based on references and the vendor's ability to supply a consistent brand across the fleet. The presentation noted that standardizing brands simplifies service and parts inventory; the board heard that Marco offered a slightly lower service and supplies cost but used mixed brands for copiers and printers.
Staff described the district's print‑management practices, including monthly usage reporting through PaperCut and a follow‑me printing setup that requires users to authenticate at the device to release jobs. Administrators said those controls reduced stray print jobs and that the elementary office copier carried heavier production load in recent months.
A board member moved to approve the Access Systems quote and the motion was seconded. The board approved the 60‑month lease by voice vote and directed staff to finalize the contract and the implementation schedule so machines could be replaced ahead of the lease start in August.
