Board approves $117,000 Scale Computing contract to replace key county server

Kossuth County supervisors voted unanimously Feb. 4 to replace an aging core server component, approving a $117,000 contract with Scale Computing and authorizing the board chair to sign the purchase order.
IT staff explained the procurement during the public agenda item. Derek (IT staff) told supervisors a major piece of the county’s existing SAN equipment had lost manufacturer warranty after an upstream acquisition, leaving a core component with shorter-than-expected support life. Replacing that equipment under the existing architecture was estimated at about $146,000–$150,000; the county’s full current architecture (including ongoing licensing for VMware) was forecast at roughly $270,000–$275,000 over five years.
Derek and other staff recommended moving to a hyperconverged approach from Scale Computing, with a five‑year support and licensing bundle for about $117,000 — an estimated savings of about $100,000 over five years compared with the county’s projected costs for the current design and licensing trajectory. Staff said Scale Computing provides 24/7 U.S.‑based support and bundles warranty, support and licensing, reducing vendor coordination and the finger‑pointing that has occurred when multiple vendors share responsibility on failures.
Board action: Supervisor Wacker moved to approve the Scale Computing contract at the discussed price and authorize the board chair to sign; Supervisor Stecker seconded. The board took a roll call and voted unanimously to approve the contract.
Why it matters: The county’s core server supports multiple county departments; staff said a failure of the unsupported SAN could take county systems offline until replacement hardware was procured. The approved design moves to a single‑vendor supported hyperconverged solution with 24/7 support to reduce that risk and lower projected five‑year costs.
Contract details and tradeoffs: The approved budgeted option includes hardware, migration and five years of support and licensing. Staff noted the ongoing risk that any vendor could be acquired in the future and that support commitments are never absolute, but said Scale Computing’s demonstrated use by other Iowa counties and their bundled support model made the vendor the fiscally prudent choice.
