Purchasing committee approves several procurement awards; HVAC replacement bids taken under advisement

In addition to two larger procurement items, the Rutherford County Purchasing Committee approved a series of procurement actions and administrative items.

Textiles: Staff recommended awarding the textile donation services RFP to the local vendor identified in staff materials; the committee approved the recommendation by roll call.

Electronics (e‑waste): Three of four bidders submitted certificates with less insurance coverage than requested. One bidder (City E Waste) represented in writing that it will have the requested coverage; the county attorney advised waiving the technical requirement for a certificate in this round but making proof of adequate insurance a condition of contract execution. The committee approved the selection subject to that proof.

Chemical and custodial supplies: Staff recommended selecting the primary suppliers listed in the packet; the committee approved the recommendation by roll call.

Surplus equipment: Deputy Spence presented a list of surplus vehicles and equipment for salvage; the committee approved the disposition plan.

HVAC replacement: Facilities staff described four bids to replace aging HVAC and ductwork at a county building and requested time to evaluate. The committee took the HVAC RFP under advisement and scheduled a special meeting before Christmas to receive staff recommendations; staff said it needed about a week to prepare an assessment.

Administrative: The committee approved the meeting minutes at the start of the session and noted the next scheduled Purchasing Committee meeting is Jan. 13; members were reminded of an OACB event at the county forensic center.
