The Iberia Parish Finance Committee voted to authorize a contract with CivicPlus for meeting management and agenda software during its Aug. 27 session.
Clerk Carey and staff described demonstrations and on-site visits to other parishes, the benefits of cloud-based packet distribution, and integration with planned Crestron audiovisual upgrades. Carey said implementation will include up to four hours of virtual training for council staff and that the initial cost for the implementation phase is $14,800, with recurring annual service of $10,400 due 12 months after signing (with possible increases in later years).
Committee members said the software should improve efficiency, reduce postage and packet-printing costs, and speed codification of adopted ordinances. Members asked about compatibility with other planned IT projects; staff said CivicPlus is distinct from the planning-and-zoning software (OpenGov) but that Crestron and hardware upgrades will be coordinated.
The finance committee approved the requested general-fund amendment for initial implementation; councilors asked staff to coordinate procurement, training and a schedule to reduce paper packets while continuing paper availability on request.
