Board approves Hamilton VoIP system to replace district phone network

The Arlington Public Schools board voted on Sept. 8 to purchase a Hamilton voice‑over‑IP phone system to replace a failing voicemail and telephone platform.
Mr. Larson presented three vendor options (EECS, Highpoint, Hamilton). He explained that the existing system—about 20 years old—had stopped providing voicemail and required replacement. Hamilton and Highpoint offered on‑premise server options (Hamilton also offered lease options); EECS’s proposed solution would have relied more on cloud services and, according to Mr. Larson, would not integrate as cleanly with the district’s door‑access and bell systems.
Administration and Mr. Larson recommended Hamilton primarily because district technology staff are already familiar with its hardware and software and because Hamilton’s service footprint and Nebraska presence better matched the board’s service‑level expectations. The board moved to approve purchase of the Hamilton VoIP system and to fund it from depreciation and/or the QCPuff/special building funds as available; the motion carried.
What this changes: the approved system will replace an older on‑site phone server, provide an upgrade path to cloud services if desired later, and should allow the district to maintain or transition phone numbers and integrated safety systems. Administration will proceed with purchase and scheduling installation and will report back to the board on timing and any E‑rate or tariff implications.
A direct quote from the meeting: Mr. Larson said the recommended systems “integrate with everything that we have,” and Dr. Lewis and IT staff said Hamilton’s familiarity weighed into the recommendation.
Next steps: administration to finalize the contract, confirm funding source (depreciation/QC Puff), and schedule installation and any required hardware (PoE switches).
