Charlemont assessors plan AP5/Catalis CAMA conversion with October go‑live target

Carlene Hayden, the assessor’s clerk, informed the Charlemont Board of Assessors on June 1 that a warrant article authorizing the town’s purchase of AP5 CAMA software from Catalis passed at Annual Town Meeting and that the town will move forward with a cloud-based conversion.
Hayden said the town’s order will be prorated to the months the system is used and will include four licenses to cover the assessor’s office and up to three external vendors. She told the board the town’s target start date for conversion is Aug. 1, 2026; staff training will begin Aug. 15 in 60–90‑minute sessions. Hayden described an estimated conversion window of 25–90 days and said the project team’s target go‑live date is Oct. 1 so the office has time to set the tax rate.
Hayden said Catalis representative George Hoerman will send an order form the town must sign and return. She added Catalis will implement a new building-permit report currently used by the Building Inspector’s office, will explore importing Charlemont’s zoning districts from the town’s AxisGIS mapping system into AP5, and confirmed there will be the capability to connect AP5 to the Tax Collector’s QDS tax‑billing software.
Hayden told the board neighboring towns Buckland and Monroe are planning conversions on a similar timeline, which the vendor will coordinate with. The change will replace the town’s current AssessPro “classic” workflow; AssessPro will remain in place but will not be supported after conversion.
The board did not take additional formal action on the item during the meeting; Hayden said the next procedural step is receipt and execution of the vendor order form so Catalis can schedule conversion and training.
The assessor’s office listed the documents it reviewed at the meeting, including notes of Hayden’s May 28 conversation with Catalis about AP5 implementation and the town’s deeds for April 2026.
