Jennifer Hoyt, Chair of the Trustees of Trust Funds, presented a proposed "Policy on Record Keeping for Trustees of Trust Funds" and led the trustees in a discussion of its wording. Julia Jones, the board secretary, moved to adopt the policy; Louise Andrus, treasurer, seconded the motion and all voted in favor.
Trustees also agreed to create an "Issues and Resolution" binder to collect resolved email exchanges and related documents so they are available for future reference. Julia Jones made the motion to establish the binder and Jennifer Hoyt seconded; the motion passed unanimously. Trustees said the binder is intended to coexist with the new record-keeping policy and to provide a clear place to track resolved correspondence.
