District outlines ERP modernization: RFP completed, vendor selection expected this summer

District IT and finance leaders presented a high-level overview of the enterprise resource planning (ERP) transformation project, which seeks to replace the district's aging SAP ECC system before vendor support ends in December 2027. Project staff said the RFP was released May 1, proposals were received June 11 and vendor demonstrations have taken place; staff anticipates a vendor recommendation in August 2026 and a board contract approval in the fall, with implementation mobilization in early 2027.
Consultant Plant Moran, contracted to advise the project, emphasized the importance of independent verification and validation (IV&V) and third-party assurance to mitigate implementation risk. The presentation included conservative, upper-end cost estimates for the first three years (cited around $75 million) and noted that implementation funding will mainly come from capital funds while the district expects to use limited general-fund backfill for staff and transition support. Board members asked how the district will measure and capture savings; staff said future ERP reporting will provide metrics such as cycle times, process efficiencies and analytics to quantify operational improvements. The project team agreed to provide quarterly updates to the board as vendor selection and contracting proceed.
