A department representative (speaker 10) described training activity and the value of moving from spreadsheets to a dedicated system that tracks equipment usage, maintenance and training. "This is a 1 stop program, basically," the speaker said when outlining functionality that would centralize incident reporting, equipment service records, hydrant mapping and mobile app access for responders. Staff quoted an annual subscription of about $6,950 and a one-time setup fee near $1,400. Trustees questioned whether the current spreadsheets could be stretched for another year to avoid overlap and double-pay and asked staff to analyze cancelation options for the existing subscription before committing to a new contract.
The board did not authorize immediate purchase; instead members directed staff to review contract terms, potential cancelation fees for the incumbent service, and return with a recommendation and a clear cost-comparison illustrating the business case for replacement.
