What Rentalscape does: features, data and expected onboarding for Coxsackie

Deckard Technologies walked the Board through the technical capabilities it says underpin Rentalscape, emphasizing address identification, future-booking detection and continuous monitoring. The firm told trustees the system "continuously monitors every listing, every day, including bookings up to a year in advance," and that image files are date-stamped and retained indefinitely to preserve listing history.

The company said Rentalscape captures both listing-level and property-level data: listing URLs and ad IDs, host names when available, permit or license numbers if included in a listing, daily rates at time of booking, rental frequency, and a rental calendar that shows the current month, the prior 12 months and the upcoming three months. Deckard also described features that distinguish host-blocked dates (not revenue-generating) from actual bookings, and a versioned PDF history of listing content to identify changes or removal of listings.

For Coxsackie, Deckard proposed onboarding on the village's timeline. Typical implementation steps outlined: contract signing and kickoff within 1–2 weeks, onboarding and training another 1–2 weeks later, and address identification completion averaging 2–4 weeks after onboarding. The vendor said most jurisdictions have been operational within a few weeks after onboarding and that Rentalscape can be configured to flag violations under the Village of Coxsackie's existing ordinance.

The Board heard that Rentalscape shows analytics such as most active hosts, top platforms, booking activity, host revenue, average daily rate and estimated tax revenue; however Deckard noted that some dashboard charts would not be activated until the system goes live in the village.
